EVERYTHING YOU NEED TO KNOW ABOUT PLANNING A DESTINATION
WEDDING, ELOPEMENT, PROPOSAL, BIRTHDAY PARTY, VOW RENEWAL,
PHOTO SHOOT, OR OTHER CELEBRATIONS IN EUROPE
Here are some popular questions regarding our history in the event planning industry, the booking and planning process, our fees, ethics, vendor policies, payment terms, budgeting, types of events, countries where we plan and design events in Europe, etc.
ABOUT THE COMPANY
Where are you based?
We are situated in Switzerland. We have a network of like-minded planners and designers throughout Europe, India, and Sri Lanka.
Do you work somewhere?
Wherever there is beauty, we travel. Wherever we are in Europe, we plan, develop, and organize international, multicultural wedding photography, videography, commercials, and music videos. Being situated in Switzerland, one of Europe's major hubs, enables us to organize lovely events not only there but also in any fantastic European location with ease. It goes without saying that we love Spain, Greece, France, Italy, India, Sri Lanka, and all of the USA, UK, and UAE.
Which languages are you fluent in?
We speak German, English, and Tamil, our native tongues. We know who to contact if other languages are required for planning or on-site event organization. As we put together the teams for our events, the event language is a key consideration.
How many events do you do per year?
We accept between 25 and 35 clients per year, on average, depending on the complexity of each project. Our credo of "quality first" reflects in the number of weddings we do every year. We prefer to go for the spectacular, the elegant, and the emotional. Great aesthetics, strong ethics, and attention to detail are just some of the most important characteristics that define our work, vision, and brand, and we wish to stay true to these values. So we also take the liberty to choose projects depending on compatibility, chemistry, and budget
How long have you been planning destination weddings?
Running High Emotion Weddings since 2014.
Fess and Payments
How do you calculate your fees for the planning, design, and coordination?
We calculate our fees based purely on the number of hours we invest in your event at the
hourly rates listed in our general terms and conditions. The initial quote you receive is based
on such an estimate, according to previous experience with similar events. The main factors
that influence the number of hours invested in a wedding are: the number of event days (e.g.,
one day vs. 2-4 days of events), the number of guests and vendors, the complexity of the
design and entertainment concept, the destination, and of course the budget.
Travel time, travel and accommodation expenses, as well as meals for our team, may add to
the final amount; see details in our general terms and conditions.
Should the requirements, guest numbers, and/or budget increase during the planning process,
a corresponding increase in the planning and coordination fees is to be expected.
What is the retainer fee to secure your services?
Usually between 25 and 50% of the total planning, design, and coordination fee. The amount depends on your choice regarding the number of instalments, the type of service, and how far ahead your wedding is.
Will you handle all payments to vendors?
If you want us to, of course. We offer a very transparent way of managing all your vendor
booking documents and payments, which will give you a real-time overview of payments
done and due. You will get access to an online folder too, where you can check all invoices
and payment confirmations.
Depending on the complexity of your wedding, there may be 10–30+ different vendors to
manage, which can result in 20–70 payments and potentially large cash amounts to carry on
the day of. Thanks to our service, you only need to make 2-3 payments to us (thus also
avoiding huge bank fees), and we'll take care of the rest.
If you choose to have vendor payments handled by us, a vendor deposit fee will be required
after booking our services. The amount is usually between 2.000 and 10.000 CHF and can
vary depending on the total starting budget. We will use it to make deposit payments to the
first vendor you will be booking.
What payment methods are possible?
We accept payments by bank transfer, credit card, TransferWise, and cash. To keep processing fees to a minimum, we recommend the following options, but you are free to choose your preferred method of payment. Simply let us know at the beginning of the planning process.
The FilmYork Booking Process
What is the best way to get a quote from you?
Send us as many details as possible from the very beginning; it's best to fill out this form. The more we know, the quicker we can move on to scheduling an initial consultation conference before sending you a final quote.
We decided to work with you. What do we do next?
What if we don't know our wedding date yet?
If you decided to work with us and signed a contract before deciding on your exact event date, we kindly ask that you also consider our availability when picking the final date.
How far in advance should we book you?
The sooner, the better. We have indeed also planned weddings in less than 2 months and proposals in less than a week, but the best way to go about a destination event, no matter how big or small, is to avoid any time pressure and allow yourselves to enjoy the planning process as well. We recommend starting to plan at least 9–18 months in advance.
Vendor policy
Can we have friends or relatives as wedding vendors?
If they are indeed wedding professionals with a business and experience in the event industry,
we can definitely discuss the pros and cons of hiring them.
If you're planning to also invite them as a wedding guest and their job as a wedding vendor
involves on-site work (like a photographer, videographer, musician, cake designer, florist,
etc.), then we strongly advise against it; it's best if they get to focus on a single role and enjoy
it to the full.
If you're only planning to hire them as a wedding vendor, by all means, we can take a look at
their portfolio and contract draft to see if they are a good fit. Before you sign anything with
them, though, we would like to present you with alternatives, help you evaluate them, and
guide you towards the best choice.
Who designs the wedding?
We create all wedding design concepts in-house and always customize them according to our
couples' vision. Amazing aesthetics and offering an overall incomparable experience to our
couples and their guests are our priorities. Having Irene as our head planner and designer is
our perfect solution to having a unitary look and feel to the festivities.
Of course, if there is a certain famous designer that you wish to fly in, we'll be happy to
coordinate the design concept with them, support them with all the local logistics and
sourcing, and be their liaison with local vendors.
The planning processe
How do we communicate during the planning process?
Worried about the distance? That is absolutely no problem. We rarely meet our couples in person before their wedding since most of them are literally thousands of miles away. So we have the best tools to make sure communication is efficient. We'll be in touch mostly by email and our online planning platform, and we'll schedule video calls for regular status updates or whenever necessary to discuss certain topics.
What are the steps in a wedding planning journey?
Take a look at our detailed descriptions under Service in the main menu.
How involved should we be during the planning process?
As much as you want to. We will need you to be active and responsive, though, when it comes to making decisions and giving final approvals. But no worries; we will lead you through the entire process and let you know what's coming up next.
Why should we choose you?
EthicsEasy! Step 1: You love what you see in our portfolio, and you are convinced we can create
your very own luxury destination event.
Step 2: We have quite a few aces up our sleeves: multi-lingual, award-winning, commissionfree, thoughtful, warm, personal... just to name a few.
Check out our code of ethics for more details.
